Hands-Off CEO is Hiring a Client Concierge / Executive Assistant!!!

We are looking for a sharp Client Concierge / Executive Assistant to join our growing consulting company.

Your primary role is to work with the executive team to provide organizational and administrative support that enables them to maximize their energy and grow the company. The CEO is located in Southern Utah so bonus if you’re located close. This is a long-term virtual position working with our distributed global team. The time investment will be a set 32-40 hours per week for a compensation of $25-35/hr ($48,000-$67,000 per year) depending on experience. You can work from your own home office, but this is a professional role and you must have reliable internet, and a distraction-free workspace. You must be reliable, and available during normal business hours in Mountain Standard time

Your Skills & Competencies

You’re a leader and work as a team player, happy to jump in and lend a hand even if it’s outside your job description. You have exceptional organization, and communication skills to ensure your areas of the business run smoothly. You’ll help coordinate between the CEO, the Operations Manager, and the team. You’ll run ahead of the CEO so that when she assigns a task, you can say “Oh, I’ve already handled that.”

  • Would be thrilled to be part of a cutting-edge organization that creates results like adding $5M of profit growth for clients, and freeing them up to spend more time with their families.
  • Thrive in a fast-paced environment where you’re aiding our manager in creating more structure. 
  • Are so organized that friends and family may joke about you being too obsessive with how organized you are.
  • Pick up new software fast and have experience with a project management tool like Asana, Click-Up, or Basecamp.  
  • Are familiar with Google Suite for Business, scheduling software, and Customer Relationship Management (CRM) tools.
  • Have 5+ years experience as an Executive Assistant to one or more busy executives, or other very supportive role.
  • Love working with people. You’re quick to respond to clients and customers, but also take pride in your attention to detail – never missing a beat.
  • Have excellent written and verbal communication skills.
  • Have excellent follow through and are so proactive that you’re like… “What else can I take off your plate?”
  • Looking to grow with a company and not become the star of your own business (we love shiny stars— but it’s not a match for this extremely supportive role.)
  • Great with customers as you’ll be interacting on client calls with our CEO.
  • Professional appearance and grooming to represent our quality brand.

Your Day to Day Looks Like

70% – Administrative support to CEO stay organized and complete top priorities

  • Sales admin, updating CRM, scheduling, sending prospects materials to streamline prospect communications.
  • Podcast scheduling and admin tasks to pass off to the production team.
  • Event coordination with the management of A LOT of details to create elegant online events and our bi-annual client retreats. (This is fun work for the right person!)
  • We love sending thoughtful gifts to our clients. You’ll select and handle all client gifting. (And some for our team as well.)
  • Email and calendar management – you’re amazing with details.

30% – Client Concierge Support

  • Setting up client docs, dashboards, and ensuring CEO is prepared for sessions. 
  • Taking notes on client calls and updating our client files so we can track client progress.
  • First support on calls, then when you’re ready lead 15-30 minute 1-1 accountability calls with clients.
  • You’ll follow a structure to help clients stay on track toward their strategic plan.
  • Review their check-in forms weekly and aided by our growth strategists, look for ways for us to proactively support each client. (8-10 client load.)
